Role Overview
As an Administrative Assistant to the Director of Food Safety and Sustainability, you will play a crucial role in ensuring smooth day-to-day operations and communication. This position requires an individual who is proactive, detail-oriented, and capable of handling multiple tasks effectively.
Key Responsibilities
- Prepare and maintain reports, presentations, and correspondence related to food safety and sustainability.
- Keep records of audits, inspections, and certifications.
- Collect, organize, and manage data on food safety and sustainability performance.
- Maintain filing systems for easy access to documents.
- Assist in preparing communication materials such as emails, newsletters, and
presentations for both internal teams and external stakeholders regarding food safety
updates, sustainability initiatives, and compliance information.
• Communicate with internal teams and suppliers regarding food safety and sustainability. - Ensure the Director is updated on important matters.
- Assist in organizing and tracking sustainability projects to meet deadlines.
- Help track and ensure compliance with food safety regulations and sustainability
standards. - Prepare documentation for third party audits.
- Organize meetings, training, and events related to food safety and sustainability.
- Take meeting minutes and follow up on action items.
- Manage the Director’s calendar for appointments, meetings, and events related to food safety and sustainability.
Skills and Qualifications

Education:
A-levels or equivalent required; Bachelor’s degree in administration, environmental science, or related field preferred. -
Experience:
At least 2 years of experience in an administrative role supporting senior management. - Experience in food safety or sustainability initiatives is a plus.
- Microsoft Office Proficiency: Advanced proficiency in Microsoft Office, especially Excel, for managing data, generating reports, and conducting analysis.
- Familiarity with Word and PowerPoint for document creation, report preparation, and presentation development.
- Expertise in using pivot tables, VLOOKUP, and data visualization techniques in Excel.
• Organizational Skills: Ability to handle multiple tasks and meet deadlines.
• Attention to Detail: Careful in managing records and data.
• Strong written and verbal communication skills in both English and Spanish.
• Ability to prioritize and manage time effectively.

Compensation
- $800.00 Weekly
Work Schedule
- Full-time position, Monday to Friday, 8:00 am - 5:00 pm.
- Occasional flexibility for early mornings or late evenings may be required.
- Work located in our office environment.
