Overview
We are seeking a capable Administrative Assistant to provide reliable administrative and operational support across the business. You will help keep internal processes organised, maintain accurate records, coordinate meetings and correspondence, and ensure that routine tasks are completed efficiently and on time. Key Responsibilities
Administrative Support: Provide day-to-day administrative assistance to colleagues and senior team members across a range of business activities.
Calendar and Meeting Coordination: Schedule meetings, manage calendars, prepare agendas, record actions, and follow up on agreed next steps.
Document and Record Management: Create, update, organise, and maintain accurate digital files, records, reports, and business documentation.
Communication: Respond to routine emails and enquiries professionally, escalating issues where appropriate and ensuring timely follow-up.
Data Entry and Reporting: Enter information accurately into spreadsheets, systems, and databases, and support the preparation of regular reports.
Operational Coordination: Assist with invoices, purchase orders, supplier communication, travel arrangements, onboarding administration, and other operational tasks.
Process Improvement: Identify opportunities to improve administrative workflows, reduce inefficiencies, and support the use of digital tools and automation.
Team Support: Work collaboratively with colleagues to ensure priorities are managed effectively and business deadlines are met.
Requirements
Fluent English and spanish
Previous experience in an administrative assistant, office administrator, operations assistant, personal assistant, or similar role.
Excellent attention to detail and a high level of accuracy.
Confident communication skills, including professional email and telephone communication.
Strong working knowledge of Microsoft Office or Google Workspace, including documents, spreadsheets, calendars, and email.
Comfortable learning and using online business systems, databases, project management tools, and cloud-based software.
