Role Overview
As an Administrative Assistant within our food safety division, you will be essential to our operations and support. You will handle a variety of administrative, scheduling, and customer service tasks, helping our company maintain high compliance and service standards. Your ability to manage several tasks at once, use technology confidently, and communicate professionally will underpin our food safety mission.
Key Responsibilities
- Organize and maintain digital and physical files relating to audits, inspections, certifications, and client documentation.
- Enter and manage data using Microsoft Excel, ensuring accuracy and up-to-date information.
- Prepare and maintain reports, presentations, and correspondence related to food safety
- Coordinate appointments, meetings, and audits for our food safety consultants and clients.
- Manage the team calendar for appointments, meetings, and events related to food safety.
- Draft and send correspondence via email and MS Office applications, such as client reminders, internal memos, and meeting notes.
- Assist with report generation, audit scheduling, and deadline tracking.
- Support general office management, including ordering supplies and liaising with vendors.
- Ensure the team is updated on important matters
- Contribute positively to a collaborative, detail-oriented team environment.
Skills & Qualifications
- 2 years of experience in an administrative role supporting senior management
- Excellent multitasking abilities; effective at managing multiple priorities simultaneously while meeting deadlines.
- Bilingual (English and Spanish), speak, read, and write.
- Meticulous attention to detail and excellent record-keeping skills.
- Strong communication skills
- Proactive, organized, and calm under pressure.
- Previous office administration, customer service, or clerical experience
- Ability to handle confidential information
- A-levels or equivalent required; Bachelor’s degree in administration, environmental science, or related field preferred.
Salary & Benefits
- Starting Annual Salary of $41,600
